Job Description:

We are currently looking for an experienced candidate to fill the position (regular and full-time) of Deputy Director of Studies, a position that requires placing the student at the top of his or her priorities.

Under the authority of the Director of Studies, the Deputy Director exercises the functions of management (planning, organization, direction, control and evaluation) of the programmes, activities and resources of the departments for which he is responsible. He collaborates in the development and implementation of the strategic plan by adopting a collaborative management mode.


The Deputy Director shall exercise his functions within the framework of the responsibilities devolved to the Director of Studies and in the management of study programs, namely:


  1. Develops, implants, evaluates, updates, monitors and updates the study programs under his/her responsibility;
  2. Organizes, plans and coordinates all activities related to the management of the college's student file, from admission to graduation. Establishes and controls the various processes relating to the management of the student files and sees to the continuous optimization of the mechanisms in place;
  3. Validates the quality of data before transmission to the ministry for all areas;
  4. Manages requests for access to the various ministerial systems (Charlemagne, Socrates, Ariane);

  9. Ensures the implementation, application and monitoring of the various policies under the responsibility of the Directorate of Studies, including the Institutional Program Evaluation Policy, the Institutional Learning Evaluation Policy and the Institutional Policies for Teacher Evaluation;
  10. Makes the fallow up of program action plans;
  11. Collaborates with different levels of education;
  12. Revise the course grids;
  13. Assists the management of financial aid for students files for the programs under his responsibility;
  14. Ensures the management of the study programs for which he is responsible and sets up an active monitoring system to ensure the quality of the programs;
  15. Support the implementation of the success plan for the programmes and departments under its responsibility and monitor the various projects;
  16. Encourages pedagogical development and innovation projects and promotes the sharing of practices;
  17. Advise the Director of Studies;
  18. Contributes to the development, implementation and monitoring of policies, programs and procedures;
  19. Contributes to the development, implementation and monitoring of the work plan of the Studies Directorate;
  20. Directs staff under his/her supervision while ensuring mobilization and unifying leadership in a supportive and efficient approach;
  21. Ensures that the workplace contributes to the development and maintenance of good physical and psychological health for its employees and for itself and that it is safe;
  22. Performs other related duties as required.

The requirements
Undergraduate university degree in an appropriate discipline;

In full expansion, Collège Milestone is looking for a Registrar to support its activities related mainly to the management of student files. Under the authority of the Director of Studies, the person will work closely with all the staff of the Department of Pedagogy.


Responsibilities

  • Organize, plan and coordinate all activities related to the management of the college's student file, from admission to graduation;
  • Establish and control the various processes related to the management of the student file and ensure the continuous optimization of the practices in place;
  • Be responsible for updating students' active and inactive files and issuing any official documents relating to these records and reports (admission decision, statistics, attestations, etc.), in accordance with college policies;
  • Manage student accounts on COBA including account creation, document transmission, grade upload, etc.;
  • Follow up with students regarding their missing documents or documents that need updating;
  • Manage class calendars including the creation of class schedules and assign students and teachers to each class;
  • Analyze the level of absence of active groups and follow up with teachers regarding student attendance;
  • Provide students with letters of attendance, internship and transcripts ;
  • Organize events such as the graduation ceremony;
  • Collaborate in the implementation and updating of computer programs necessary for the management of student files and ensure the continuous improvement of work processes;
  • Responsible for the application of academic rules approved by the Director of Studies for accounting and controlling the progress of their study program;
  • Responsible for the application of the college's standards for granting equivalencies, exemptions, awarding diplomas or any other form of recognition and validating official recognition;
  • Advise the administration on student affairs policies;
  • Apply restrictions when required (guardianship, suspension, exclusion);
  • Any other duties delegated by the supervisor.

Qualifications and skills sought

  • University degree in administration or other related program;
  • Minimum of two (2) years of relevant experience in a similar position;
  • Fluency in French and English;
  • Experience in all areas specific to a registrar: academic rules, student record, admission, registration, graduation, applicable laws, etc.;
  • Relevant experience in the use of the COBA system (asset);
